Payroll Coordinator

Position Summary: The Payroll Coordinator works with the Payroll Manager, overseeing the payroll operations for a workforce of approximately 200 employees. This role is responsible for ensuring accurate and timely payroll processing, maintaining compliance with company policies, union agreements, and certified payroll regulations, and safeguarding the integrity of payroll records. The Payroll Coordinator processes weekly payroll, collaborates closely with project accountants and project managers, and helps resolve payroll-related issues efficiently. The ideal candidate demonstrates strong technical expertise, exceptional attention to detail, a positive and collaborative attitude, and excellent communication skills.

 

Key Responsibilities

  • Complete weekly full cycle payroll for the company, ensuring accuracy, timely payment processing and compliance with federal, state, union and local regulations. Assists with timecard corrections, data entry, handle employee inquiries, and working with the Payroll Manager.
  • Coordinate with Human Resources and Project Managers on new hires, terminations, pay rate changes, and job classifications.
  • Maintain confidentiality of all payroll information and documents.
  • Assist the Project Accountant team with project start up’s, invoicing and subcontractor compliance as needed.
  • Process certified payroll reports for union employees, ensuring all requirements are met and documentation is submitted weekly.
  • Prepare and submit all documents to DIR/LCPT/Wrapworks and other compliance systems.
  • Assist with processing and reporting monthly union reports to the unions and other signatory committees.
  • Collaborate with union representatives to resolve any payroll-related issues.
  • Maintain accurate payroll records and employee information in the payroll system.
  • Serve as a point of contact for employees regarding payroll inquiries and issues, providing timely and effective communication.
  • Support audits by providing necessary documentation and reports.

 

Qualifications

  • Bachelor’s Degree or 4+ years of equivalent experience preferred.
  • Experience with certified payroll, union labor and prevailing wage laws required.
  • Construction industry experience is a plus.
  • Extensive experience in payroll, with knowledge of union reporting and fringe benefits.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficient in Payroll software, Microsoft Office. Outlook, Word, Excel, SharePoint, OneDrive, and Procore.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills.

 

Schedule: Mon – Fri/Fully onsite

Pay: Hourly Position, $35-40 per hour based on experience
